Scope, readiness & working agreements
A clear working agreement / Recommended safeguards

Make the promise
deliverable.

What needs to be ready before we start?

A named client owner, access to relevant staff and records, approved system access appropriate to each task, and leadership availability. Confirm readiness and any procurement or security approvals before starting the delivery clock.

What counts as a completed workflow?

Agree the workflow boundary, integrations, test cases, internal owner, fallback process, and acceptance criteria. Confirm whether the quick win counts toward the package total. A pilot and a production release are different milestones.

What happens if the work is more complex?

Re-scope before committing: reduce the number of workflows, phase the implementation, or use Custom. Vendor dependencies and integration complexity affect delivery. Savings and performance improvements require measurement; they are not guaranteed.

Does this include Municipal Advisory or Command Center?

These packages cover the proposed embedded AI advisory offering. Municipal consulting, Command Center licensing and implementation, and regulated professional services have separate scopes and commercial agreements.

Which commercial terms remain open?

The team is reviewing travel treatment, upgrade credits, launch pricing, and optional engineering add-ons. Only the final signed proposal establishes the fee, expenses, included support, and delivery obligations.

A fictional facilities decision brief illustrating one part of discovery. The package also proposes an implemented quick win, which this example does not demonstrate. This is not a client result or completed Land & Sea engagement.

The question

How should a site organize competing work requests so critical maintenance receives attention first?

Evidence to gather
  • Asset register and open work orders.
  • Priority definitions, overdue tasks, and escalation routes.
  • Interviews with the site manager and maintenance leads.
Proposed decision

Trial a shared triage process for one asset group, with agreed priorities and a named owner.

Measure the trial

Establish a baseline for overdue critical tasks, time to assign an owner, and repeat requests. Agree targets after reviewing the data.
